FAQ: Answers to questions about Objects and Order

Frequently Asked Questions

  • Is it free to create an Objects and Order account?

Yes! It's free to Sign up and create an Objects and Order account.

  • Can I try the Objects and Order system to see how it works?

Yes! To add up to 100 of your own objects, start a Base and try it free (no credit card required). Create and customize Blueprints, and add object data and media files. You can also create Exhibitions and Modules.

  • Can I create an exhibition without a subscription?

Yes! You can create up to 3 exhibitions. Start a Base (no credit card required), add up to 100 object records, and start building outstanding exhibitions.

When you're ready to publish, start a Base subscription.

  • My arts and culture organization uses a legacy Collections Management System. Can I still use Objects and Order?

    Yes, absolutely!

Objects and Order helps you do what you wish your Collections Management System (CMS) could: create outstanding online exhibitions and digital projects, streamline object workflows, and organize all the knowledge created around objects, across departments, that doesn't "fit" in a traditional CMS.

Create a Base with up to 100 objects and try it for free (no credit card required).

  • What is the Dashboard?

The Dashboard (MOON) helps you navigate the Objects and Order System.

When you're signed in, you'll see the O&O icon at upper left. Click to access your Bases.

Once you select a Base, you can access Objects, Exhibitions, Blueprints, DataSets, Modules, and Settings from the menu.

  • What is a Base?

A Base is a space for organizing objects and creating and sharing digital exhibitions.

There are four Base Levels (01, 02, 03, and 04). Every Base begins at Level 01, which is free for up to 100 objects (no credit card required).

When you create a Base, you are the Base Owner. If you decide to start a subscription to your Base, you can invite Base Members to collaborate.

Learn more in our Base Basics guide.

  • What is a Blueprint?

A Blueprint is a purpose-built form for object data.

You create and customize Blueprints for types of objects, exhibitions, projects, and groups of objects. When you set up a Blueprint, you’re setting up custom form fields for object information.

You can begin with a template and then customize the fields to fit your needs.

Learn more in Art of the Blueprint and Setting Up Blueprint Fields.

  • What is a Digital Exhibition?

A digital exhibition is a curated online experience that brings together your objects, interpretive content, and media to tell compelling stories.

Learn more about setting up, customizing, and publishing exhibitions in the Creating an Exhibition guide.

  • What is a Module?

A Module is an engaging digital content feature that you create and customize using your object data, content, and media.

We currently offer two types of Modules: Featured Object and Slideshow. Modules can be shared via URL or embedded on your site with a short line of code.

For more on Modules, see Creating a Module and Sharing a Module.

  • Do you offer APIs?

Yes, there is an API, which allows developer access to Base data and files. Please contact us to request API access.

  • How do I add objects?

To add a new object to your Base, click or tap the + icon on the Objects page. Give the object a title and select a Primary Blueprint. You can also add data for a group of objects via CSV. See CSV Guidelines.

Enter object data into the fields generated by your Blueprint (you can switch Blueprints to enter additional information).

Learn more in the Adding Objects guide.

  • How is object data protected?

We take data protection seriously and have implemented multiple safeguards. For backups and disaster recovery, we use enterprise-grade backup solutions. Our systems undergo regular security assessments to ensure your data is protected.

Data is encrypted in transit and at rest. In transit, we automatically encrypt data using HTTPS/TLS (Transport Layer Security). We securely store data in Google Cloud Platform (GCP) infrastructure, which encrypts data at rest by default using AES-256 encryption, the industry standard for secure data storage.

Data is backed up regularly. We create a complete snapshot of our entire system every week. These weekly backups are kept for 14 days. We create a complete snapshot of our entire system monthly. These backups are stored in a separate secure location and rotated every 3 months.

    Point-in-Time Database Recovery
We can recover data exactly as it existed at any moment from the past 7 days. This protects against accidental deletions or incorrect data changes.

  • What information is displayed in an object’s “All Data” section?

All Data displays all the saved information recorded for an object across every Blueprint in your Base.

For more information, see Navigating All Data.

  • How do I download object data from a Base?

To download data for an individual object, on the object page, select Download JSON from the Actions menu.

To download object data using a specific Blueprint, go to the Objects page. Use Filter by Blueprint to select the desired Blueprint. Then click on the download icon (at upper right) and choose to download as JSON or CSV.

To download data for a group of objects, go to the Objects page and select objects. From the Actions menu, select Download JSON.

The Base Owner can download JSON data for all objects in the Base on the Settings page.

Please note: If the Base Owner grants a Base Member permission to access Settings, the Base Member will be able to download JSON data for all objects in the Base while the Base plan is active.

  • I’m going to subscribe to my Base. How will I be billed?

Your Base subscription for a Level 02, 03, or 04 Base will be billed to your Account, and will renew automatically.

You can review invoices and payment history, and update your payment information in the Billing Portal from your Account page. You can view, update, or cancel your Base subscription in the Base Settings.

You can add additional publishable Modules to your subscription at any time in Settings. Additional data storage is also available. Please see pricing information.

  • Can I start a Base subscription if I live outside the United States?

Currently subscriptions are only available in the U.S. Please check back soon!

  • Can I assign roles to my Base Members?

When you add a Base Member to your Base, you'll grant specific permissions instead of assigning a particular role.

Currently, you can grant a Base Member permission to access and update Objects, Blueprints, DataSets, Exhibitions, Modules, and/or Settings by toggling on these options on your Base Settings page.

When a Member is added, the following permissions are toggled on by default: Objects, Blueprints, and DataSets.

Whenever you need to adjust Member permissions, just update and save.

    Please note:

If you make the decision to grant a Base Member permission to access and update Modules and Exhibitions, that Member will be able to create, publish, and delete Modules and Exhibitions.

If you make the decision to grant a Base Member permission to your Settings, that Member can view Base Stats, Details, Members, and History. Only the Base Owner can update billing, manage Members, or add Modules.

We’ll be adding more granular permissions options in the future.

  • How can I transfer ownership of my Base?

    Please contact us.

  • How do I cancel a Base subscription?

From the Settings page or from your Account page, go to the Billing Portal and click “Cancel subscription” at least one day before the end of your current subscription period.

Once you indicate your decision to cancel, you and your Base Members will continue to have access to the Base until the end of the current subscription period (the "Cancellation Date").

Before the Cancellation Date, download any desired object data or files from the Base and unpublish any live Exhibitions or Modules.

Once the cancellation takes effect, for a period of 60 days, the Base Owner can still:
    Access Base Settings
Download Base object data as JSON
Start a new subscription for the Base
Delete the Base (and all User Content, Exhibitions, and Modules within)

Please note: After 60 days, Bases with a canceled Base subscription may be permanently deleted.

  • Can I renew or resubscribe to a Base after cancelling the subscription?

If you decide to cancel your Base subscription, you and your Base Members will still be able to access the Base until the last day of the current subscription period.

During that time, if you decide to restart your subscription, you can visit the Billing Portal from the Settings page or from your Account page and click or tap "Renew subscription."

After the current subscription period ends, the Base Owner can still visit the Base Settings page for a minimum of 60 days to start a new subscription. Please contact us with any questions.

Please note: After 60 days, Bases with a canceled Base subscription may be permanently deleted.

  • How do I request that my Objects and Order account be deleted?

From your Account page, go to Request Account Removal to submit your request.
