Objects and Order System Overview

A Base is a collaborative space for organizing object information and assets and creating online exhibitions and digital features.

There are four Base Levels (01, 02, 03, and 04). Every Base begins at Level 01, which is free for up to 100 objects (no credit card required).

  • Customize your Base for your objects and projects.
  • Add your team members and set permissions to control access.
  • Scale from 100 up to 500,000 object records.
  • Import and export object data as a CSV. Export Base object data in JSON format for easy backup or analysis.
  • Monitor Base stats (objects, storage, members, etc.) in the Base Settings.

Add data, content, and media files for any type of object. Search, filter, and sort objects, and create custom pdfs or download your data.

For individual objects

  • Associate objects with multiple Blueprints and seamlessly switch between them to view alternate data fields.
  • Add custom metadata like captions and alt text for object files.
  • View all information saved for an object under All Data.
  • Download an auto-generated, internal QR code that Base members can scan to access information and file.
  • Export object data in JSON format.

For your object collection

  • Perform a full text search, filter objects by Blueprint, and sort results efficiently.
  • Perform custom queries with up to five filters using an SQL-like search.
  • Create PDF reports of selected objects, customize by choosing available fields to output, and arrange them using drag-and-drop.
  • Download object data for a specific Blueprint as a CSV or JSON file.

Blueprints are purpose-built forms for object data. You can create and customize Blueprints for types of objects, exhibitions and other projects, and groups. When you set up a Blueprint, you're setting up custom form fields for object information.

  • Add fields using established metadata schemas, organizational standards, and your preferred terminology.
  • Choose from a variety of field types to accurately capture your data. Designate fields as "Required" or "Locked."
  • Easily arrange fields and rows using drag-and-drop.
  • Update Blueprints as your informational needs change.
  • Export CSV templates created from Blueprints to import new objects. Export your Blueprint structure and layout in JSON format.

Datasets are controlled, selectable lists that help ensure consistency, eliminate misspellings, and make data entry even easier. You can use Datasets in any Blueprint in your Base.

  • Easily organize data and create controlled vocabularies to maintain data integrity (e.g. artists, locations, and exhibitions).
  • Flexible structure adapts and expands with your data.
  • Add custom fields to expand Dataset entries: Customize each Dataset to your specific needs, similar to a spreadsheet.
  • Use Dataset entries as field data for select options within your Blueprints.
  • Export your data: Download Dataset entries as CSV. Save your Dataset field structure in JSON format.

Modules are engaging digital content features that you create and customize using your object data, content, and media. They can be shared via URL or embedded on your site with a short line of code.

  • Highlight your latest work, new acquisitions, or a group of exhibition objects.

  • Publish, view, update, republish, and unpublish Modules with ease.
